03:10:01 Planned Absences for Institutionally Sanctioned Events and Activities

Purpose

Outlines procedures for excused absences and make-up coursework for class absences related to institutionally sanctioned events and activities.


Policy

All institutionally sanctioned trips for student club/association representatives and student athletes must be communicated via email to faculty members in advance by the coach or club advisors. Faculty will work with students/athletes to facilitate planned make-up work.

To ensure information is communicated effectively the following procedure should be followed.

  • Within the first two weeks of each semester or before any earlier planned absences occur, the faculty club advisor or coach will provide a complete schedule of planned trips, including departure times, to each student or student athlete.
  • The student representative or student athlete will meet with his or her instructor and will provide the instructor with a copy of the planned absences.
  • A plan will be developed with the student and instructor that will enable the student to complete missed work for scheduled absences.

Class attendance is a requirement at Walters State. It is the student’s obligation to attend class, inform the instructor of planned absences and provide reasons for unplanned/unexpected absences. If a student club representative or student athlete misses class due to illness or personal emergency, he or she is expected to notify the instructor. It is the student/athlete’s responsibility to meet with his or her instructor to obtain any missed assignments.

If an institutionally sanctioned event or activity must be rescheduled due to snow, rain, etc., the club advisor or coach should immediately communicate this change to faculty via email. 01/15; 05/16
